Privacy Policy - Help For Our Heroes: Claims Coaching
Effective Date: March 7, 2026
Help For Our Heroes: Claims Coaching ("the Company," "we," "us," or "our") is committed to protecting the privacy and confidentiality of the veterans we serve. We understand the personal nature of VA claims and the sensitive information that can be involved, and we treat veteran privacy as a core part of how we operate. This Privacy Policy outlines how we collect, use, disclose, and safeguard your information when you visit our website, https://www.helpforourheroesclaimscoaching.com/, or engage our professional consulting and coaching services, including "The Veteran’s Advantage" program.
By using our services, you agree to the collection and use of information in accordance with this policy.

Contact Data: Name, email address, phone number, and mailing address.
Military & Claim Data: Branch of service, service dates, current VA disability ratings, claim history, and specific challenges regarding your VA benefits.
Health & Medical Information / VA Documentation (Assess Stage): To provide our "Assess" stage coaching services, you may voluntarily share service history details and disability-related records and documents you choose to provide, including medical records and VA documentation (such as VA decision letters, C&P exam results, DBQs, nexus letters, treatment notes, and other supporting evidence). You control what you provide.
Billing Information: Payment details processed through our secure third-party payment processors. We do not store full credit card numbers on our servers.
B. Information Collected Automatically
Usage Data: IP addresses, browser types, device information, and pages visited on our website to improve user experience.
Cookies: We use cookies and similar tracking technologies to track activity on our service and hold certain information.
2. How We Use Your Information
We use the information we collect for the following professional purposes:
Service Delivery: To execute "The Veteran’s Advantage" three-stage system (Assess, Prepare, Submit & Succeed), providing expert coaching and documentation strategy.
Communication (Email/SMS): To respond to inquiries, schedule "Free Strategy Sessions" via Google Calendar, and provide ongoing support and service-related updates through email and SMS/text message (standard message and data rates may apply depending on your carrier). You can opt out of marketing texts/emails at any time (see Section 5).
Compliance & Legal: To fulfill our contractual obligations under the Service Agreement and to comply with applicable federal and state laws.
Internal Improvement: To analyze how our services are used and to improve "The Veteran’s Advantage" system, including our educational materials and coaching methodologies.
3. Disclosure of Your Information
We do not sell, rent, or trade your Personal Information to third parties. We may share information only in the following limited circumstances:
Service Providers: We may share data with trusted third-party vendors (e.g., CRM platforms, billing software, communications platforms, and scheduling tools) who perform services on our behalf and are bound by confidentiality agreements.
Partner Medical Providers (Only When Requested): If you request assistance obtaining medical support (for example, a nexus letter and/or DBQ support), we may share relevant information with partner medical providers (including MDs and/or Psychologists) solely to support your request and only with your direction/consent.
Legal Requirements: We may disclose your information if required to do so by law or in response to valid requests by public authorities (e.g., a court or government agency).
4. Data Security
We implement industry-standard administrative, technical, and physical security measures to protect your sensitive information. This includes industry-standard encryption and secure transmission methods for sensitive medical and personal records, as well as restricted access to personal files within our internal team. However, no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
5. Your Rights and Choices
Depending on your jurisdiction, you may have the following rights regarding your data:
Access and Correction: The right to request copies of your personal data and to request that we correct any information you believe is inaccurate.
Deletion: The right to request that we erase your personal data, subject to certain legal and contractual exceptions.
Opt-Out: The right to opt-out of marketing communications at any time by following the "unsubscribe" link in our emails. For SMS/text messages, you may opt out by replying STOP (or any other method we provide in the message). We may still send non-marketing, service-related communications when necessary.
6. Cookies and Tracking (Website Analytics)
We use cookies and similar tracking technologies (such as pixels and analytics tools) to operate our website, understand website traffic and usage patterns, and improve our site and services. These tools may collect information such as your IP address, browser type, device information, referring/exit pages, and the pages you view. You can control cookies through your browser settings, but disabling cookies may affect some website functionality.
7. Third-Party Links
Our website may contain links to other sites (e.g., VA.gov, social media platforms). If you click on a third-party link, you will be directed to that site. We strongly advise you to review the Privacy Policy of every site you visit, as we have no control over and assume no responsibility for the content or privacy practices of any third-party sites.
8. Compliance (Federal Standards)
We strive to follow relevant federal data privacy and security standards and best practices applicable to our operations, including implementing reasonable safeguards designed to protect sensitive personal information. Please note: Help For Our Heroes: Claims Coaching is not a "covered entity" or "business associate" under HIPAA by default, and our services are professional consulting/coaching services rather than medical care. Even so, we treat veteran medical and claim-related documentation as highly sensitive and limit access and sharing as described in this Privacy Policy.
9. Changes to This Privacy Policy
We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Effective Date" at the top of this policy. You are advised to review this Privacy Policy periodically for any changes.
